1. Data controller

2. Data we collect

MailVoice collects and processes:

Google account data: email address, display name and profile picture, obtained via Google Sign-In;
Gmail content: subject, sender, recipients, message body and metadata, accessed only after your explicit consent;
App usage data: voice commands, usage statistics and technical logs necessary to operate the service.

3. Purpose

We use your data exclusively to:

provide voice-based reading, summarization and management of your emails;
generate replies and actions via Anthropic's AI model (Claude);
ensure security, prevent abuse and improve service quality.

4. Gmail access and OAuth scopes (Google API Services User Data Policy)

MailVoice uses Google Gmail APIs in compliance with the Google API Services User Data Policy, including the Limited Use requirements. Requested scopes:

gmail.readonly — to read and summarize emails;
gmail.send — to send replies authorized by the user via voice;
gmail.modify — to archive, label or move emails on user voice request.

Guarantees: Gmail data obtained via these APIs is used exclusively to provide user-facing features. It is never used to train generic or third-party AI models, never sold or transferred to third parties for advertising, and not accessible to human operators except in limited cases of security, debugging with explicit consent, or legal compliance.

5. Where data is processed

Data is hosted on Firebase (Google Cloud), in data centers located in the European Union (eur3 region). AI processing happens via Anthropic's API under GDPR-standard contractual clauses.

6. Data retention

Gmail data is not permanently stored: it is processed in real-time to answer your requests and discarded at the end of the session. Account and usage data is retained as long as the user keeps their account active.

7. Your rights (GDPR)

You have the right to access, rectify, erase your data, object to processing, request portability and withdraw consent at any time. You can also revoke MailVoice's access to your Google account from the Google Permissions page. To exercise your rights, contact info@mailvoice.app.

8. Security

We use encryption in transit (TLS) and at rest, Google OAuth 2.0 authentication and Firestore security rules to protect your data. Source code is private.

9. Changes to this policy

We may update this policy to reflect legal or service changes. Changes will be communicated via email or in-app.
